EXHIBITION AND SPONSORSHIP BROCHURE

DATE AND VENUE OF THE EXHIBITION

The exhibition of the CESEP'09 congress will take place from 25 to 29 October 2009 at the AMARAGUA HOTEL, located in the Torremolinos seafront promenade. The exhibition will be open during the congress hours (Monday to Thursday). The address of the hotel is:

CONFERENCE OFFICE

The Conference Office will be set up permanently at the conference venue.
The office is located in front of the entrance of the Salon Sevilla, close to the stairs.

The convention's Hall features a reception area, telephone boxes and services. Suitable car entrance and an easy access from the Hotel (on the left passing the reception) and from the Paseo Marítimo peatonal de la Carihuela.

The location of the Exhibition is situated in the between the Conference and Poster areas as shown in the floor plan:

The stands will be reserved according to the date of receipt of the signed exhibition contract.

TYPE OF SPONSORSHIPS

 

• Coffee break: 1.000 €*;

  • The logo will be included in all the coffee tables and printed in a poster that will be shown during the coffee break.
  • The logo will be printed in the proceedings book and shown on the congress home page.
  • The sponsors will be specified in the congress program.

• Book sponsorship: 600 €*;

  • The logo will be printed in the proceedings book and shown on the congress home page.
  • The sponsors will be specified in the congress program.

• Bag sponsorship: 600 €*;

  • The logo will be printed in the conference bags.

* VAT 16% is included in the price.

STANDS

The size of a standard exhibition space is 6 m2 (2 x 3 m, height 2,5 m).
There are two different options.

The basic setup includes the registration fee of one person for the Conference and:

  • 2 Chairs
  • 1 Table
  • Lights
  • 1 Electrical wall socket
  • WiFi connection

The second option includes the stand frame plus the registration fee of another person for the conference (two registrations in total).

PRICES

The price for the basic setup is 1.700,00 € (16 % VAT included).

The price for the complete setup is 2.000,00 € (16 % VAT included).

If you have other requirements we can fulfil them to an additional cost.

BUILD-UP AND DISMANTLING OF STANDS

Build-up:

The stands (walls, etc.) will be built by the staff and will be ready by 25 October 2009. You can set up your things, instruments etc. during:
Sunday 25 October 2009 (09.00 - 16.00)

Dismantling:

Friday 30 October 2009 (9:00-13:00)

DELIVERY OF GOODS

Each exhibitor delivers his products and goods to the hotel at his own expense and liability. The Congress organizer shall not bear responsibility for the reception, dismantling, storage or on-ward dispatch of goods. Ascertain beforehand when the goods are to be conveyed that the recipient is on the premises at that time. The staff of Conference is unable to sign for goods received on your behalf.

INSURANCE

The exhibitor must insure the contents of their exhibit against damage, fire and theft. The organizer remits the costs of fair area fire protection, locks the indoor facilities for the night and looks after the general surveillance, while not being held responsible for potential loss and damage of goods. Fair-related liability insurance offers third-party coverage on damage caused to the organizer's equipment and structures. The organizer’s liability insurance does not indemnify harm incurred to the exhibitor’s own equipment and structures; therefore, the exhibitor must arrange for such insurance as required himself (risk, fire, theft, etc.).

CONTRACTS

A separate ’Exhibition contract’ or ’Sponsorship contract’ has to be signed by both the Exhibitor/Sponsor and the Congress organisers.

PAYMENT

The Congress organiser will send you an invoice after the exhibition contract has been signed or as agreed separately.

b) The transfer expenses correspond to the sender, and as such, the amount that is credited to our account should be the full amount in EUROS.

c) After transfer has been made, please send by fax or e-mail to Tomás Cordero Alcántara (+34 952 132 038; cordero@uma.es), a copy of the bank document confirming the transfer.

Please give the name of the company or group clearly in a separate space.

All payments will be confirmed upon receipt.

Cancellations made before September 15th 2009 will be refunded to 80 % of the paid amount (excluding bank transfer fees). After September 15th 2009 no refunding is possible.
